VIBZ FIELD NOTE · PUBLIC SAMPLE
Why does the same question keep coming back?
Before adding another training session or an AI answer, find the moment where someone has to guess. This is a public sample of the kind of practical note I plan to send by email. It has not been sent as a newsletter issue.
When the same question comes up every week, it is easy to decide somebody needs more training. Maybe they do. But I would look at the work first.
Say a team has to ask the owner how to handle a common exception. Do they have one clear instruction? Are two people giving different answers? Does the software show them what they need? Or is it a decision that really does need the owner? Those are different problems. Training might help with one of them. It will not fix all of them.
This is an illustrative situation, not a client story or measured result.
A SMALL TEST
Find where they stop.
Look at the last few times the question came up. Write down where the person stopped and what they had to ask. Try one clearer instruction or example with the person who actually does the task. Let them use it on a normal case and an exception.
If they still have to guess, the handoff is not ready. You may need to clarify who decides, fix conflicting information, or give the person a way to escalate the exception.
AI might help someone find an approved answer later. First, make sure the answer itself is right and someone owns updates to it. A person should still decide anything the instructions do not cover.
- Choose one question your team asks repeatedly.
- Find two recent examples and the point where work paused.
- Agree on one clearer instruction or decision owner.
- Ask the person doing the work to try it on a normal case and an exception.
That small test may be enough. If the task still needs a closer review, you can describe it to me. I’ll check whether Vibz is a fit before any work is agreed.
