VIBZ GUIDE · BUSINESS AI
How should a team choose AI?
A shared AI plan can help people work from the same rules. It can also add a subscription while leaving the original problem alone. Before comparing Business, Team or Enterprise plans, decide what your people need to do and what information they can use.
Pick a repeated task that matters. Who does it now? What information arrives, where does it live, and what is the useful result? Look at a normal example and one where a detail changed. If the answer is already in your current software or a clearer instruction, that may be the better first move.
For example, a coordinator might need to prepare a job update from approved notes. AI could draft it, but somebody still has to confirm the job status and decide what the customer is promised. This is a fictional example, not a client result.
02 / CHECK THE PEOPLE AND INFORMATION
Who sees what, and who decides?
List the people who would use the tool, the information each one needs, what is confidential, and who reviews important output. Check what each person can already see in your current systems. An AI plan does not repair permissions that are too broad.
Name the business owner, account administrator and person responsible for the task. If you have IT, a managed service provider or a security lead, bring them into decisions about access, identity and connected systems. Keep account ownership, purchasing and final approvals with the business.
Compare what you already pay for with two or three options that fit the task. A business or team plan may give you shared administration and controls. An Enterprise plan may be relevant when its particular identity, data, administration or support features are actually needed. Plan names alone do not tell you which setup is right.
Examples to check include ChatGPT Business and Enterprise, Claude Team and Enterprise, Gemini in Google Workspace, the separate Google Cloud Gemini Enterprise app, Microsoft Copilot (formerly Microsoft 365 Copilot), and AI already included in your business software. Features, eligibility, prices and data terms change. Check the vendor’s current documentation and your actual subscription before deciding.
Vendor starting points: OpenAI plans, Claude Enterprise, Google’s product distinctions, and Microsoft Copilot security.
04 / PROVE A SMALL USE
Try it with the people doing the work.
Choose one small group and one or two tasks. Agree on approved inputs, the review step, a manual fallback and what would count as a useful result. Test a normal case and one with missing or changed information. Record corrections and who handled them.
Before a wider rollout, let users practice the task, spot a planted mistake, and explain when they should stop and ask a person. Leave a record of settings checked or changed, a named owner for accounts and updates, and a way to remove access or leave the plan later.
Complex identity, retention, legal or regulated-data questions need the customer’s qualified people or vendor involved. A consultant can help define and test the workflow without claiming to replace those roles.
