What belongs in a pre-estimate job request?

See how to organize a corrected request before estimating the job.

A deck-care company receives a request: “The deck is 12 by 20 feet.” A later message corrects one side to 16 feet. In a call, the homeowner says the area is “about 300 square feet.” Arithmetic gives 240 square feet from the first dimensions and 320 from the correction. Neither makes the customer’s rough 300-square-foot description a verified measurement.

Customer statements

First: 12 × 20 feet. Later: 16 × 20 feet. Call: “about 300 square feet.” Keep their timing and source.

Still missing

Confirmed dimensions, deck condition, access, surfaces included, photos if appropriate, and whether a site visit is required.

Estimator decision

What to inspect, whether a remote estimate is appropriate, materials, scope, price, and schedule.

A saved clarification reply

Thanks for the updates. I have your corrected dimension as 16 by 20 feet and your rough note of about 300 square feet. Before our estimator reviews the job, could you confirm the measured dimensions and which surfaces are included? We may need to look at the site before discussing scope, price, or timing.

The reply should be reviewed by the business before it is sent. It does not imply the customer’s dimensions have been verified.

Use this yourself

A checklist before the estimator takes over.

  1. Record each source and the latest correction without erasing the earlier statement.
  2. Separate calculated values from customer statements and verified measurements.
  3. List unknowns that matter to this particular job type.
  4. Ask only the questions needed before the next professional step.
  5. Put the checked job details in the job system you already use, and name who will follow up.
  6. Keep the estimator responsible for quote, material, site, and scheduling decisions.

If a native request form and saved reply already make this reliable, a custom AI setup may not be useful.
